How to Create a Community in WhatsApp & WhatsApp Business

Essentials to know

  • WhatsApp Communities bring multiple Groups together under one space for updates, discussions, and announcements.
  • You cannot create Communities directly in WhatsApp Business; they can only be set up in the standard WhatsApp app.
  • Business users can still join and engage in existing Communities, or create alternative segmented Groups within WhatsApp Business.
  • Communities and Groups help build stronger customer relationships, boost engagement, and encourage loyalty through shared interaction.
  • Communities have a 2,000-member limit, limited admin tools, and privacy considerations—so manage member data responsibly.

Small businesses increasingly use WhatsApp as more than a personal messaging tool – it has become a go‑to communication channel where customers enquire, make purchases, and stay in touch with your business. But what if you want to bring groups of people together in one place? That’s where WhatsApp Communities come in.

In this guide, we’ll look at what Communities actually are, whether you can set them up in WhatsApp Business, and how small businesses can still benefit from using them – even if the Business app itself doesn’t allow you to create one.

What exactly is a WhatsApp Community?

A WhatsApp Community is a feature that lets you bring multiple Groups together under one umbrella. Instead of having lots of separate chats, you can create a central space with:

  • Announcements – a one-way channel where admins share updates (created automatically when you set up a Community).
  • Linked Groups – smaller discussion spaces where members can interact.
  • Shared identity – a name, description, and icon that represent the Community.

Within Community-linked Groups, members can do more than just chat – they can share polls, create events, react to messages, reply to announcements, and share files.

Here are some key limits to bear in mind:

  • You can link up to 100 groups under one Community.
  • Communities can have up to 2,000 members in total (including groups and the announcements space).
  • If a Community is full, new members can only join once someone else leaves.

Communities vs. Groups: what’s the difference?

It’s easy to confuse Communities with standard WhatsApp Groups, but they’re not the same:

Can you create a Community in WhatsApp Business?

The short answer is no.

At the moment, the WhatsApp Business app doesn’t let you create Communities directly – this can only be done in the standard WhatsApp app.

What you can do in WhatsApp Business is join and engage with Communities you’re already part of:

  • On Android: go to More options, then Communities.
  • On iPhone: go to Settings, then Communities.
  • On Web: click the Communities tab (or open the three-dot menu if your screen is resized).

You’ll also see Communities listed as Groups in your chat list so that you can jump straight into conversations.

How to create a Community in WhatsApp

Anyone can create a Community in the standard WhatsApp Messenger app (not in WhatsApp Business). Here’s how to set one up:

On Android

  1. Go to the Chats tab.
  2. Tap New chat (speech bubble with a plus sign).
  3. Tap New Community.
  4. Tap Get started.
  5. Enter your Community name (up to 100 characters), add a description, and choose an icon.
  6. Tap the checkmark to confirm.
  7. Add Groups – you can create new topic-based Groups or link existing ones.

On iPhone

  1. Go to the Chats tab.
  2. Tap Add chat (green plus sign).
  3. Tap New Community.
  4. Tap Get started.
  5. Enter the Community name, description, and icon.
  6. Tap Create.
  7. Add new or existing Groups to link under your Community.

On Web

  1. Go to the Chats tab.
  2. Click New chat (speech bubble with plus sign).
  3. Click New Community.
  4. Click Next (arrow in a circle).
  5. Enter the Community name, description, and icon.
  6. Click the checkmark to confirm.
  7. Add your Groups to complete the setup.

When you create a Community, an Announcements Group is automatically generated – this is where admins can send messages to all members at once.

How small businesses can still benefit from WhatsApp Communities

Even without a built-in Community creation option in WhatsApp Business, small businesses have a few routes to explore:

Option 1: Create a Community in the standard WhatsApp app

You can set up a Community in your personal WhatsApp account and invite your customers. Within it, you can create linked Groups, such as VIP offers, product Q&A, or local events, and then use the Announcements feature to send important updates to everyone at once.

This solution works best if you have a WhatsApp Messenger account that is still set up professionally, so consider using a smart headshot and clearly identifying your role in the business, to make it clear how your WhatsApp Messenger account is connected to your WhatsApp Business account.

Tip: Consider using a second business number to set up multiple WhatsApp accounts. YourBusinessNumber makes this easy with a virtual or eSIM-based number that plugs straight into WhatsApp.

Option 2: Use WhatsApp Business to join and engage in existing Communities

Many industries, trade groups, or local networks already run Communities, and by joining them, you can connect with potential customers, build visibility, and answer questions. Just remember that your role should be helpful and engaged, not overly promotional.

Option 3: Build your own groups within WhatsApp Business as “Community alternatives”

While Business doesn’t support Communities, you can still create Groups. Each Group can target a different customer segment, such as new product launches, repeat customers, or local meetups. Combined with features like Labels and Broadcast Lists, this approach allows you to achieve much of what Communities offer – with the added advantage of Business-only tools that are only available in WhatsApp Business.

How to welcome new Community members

First impressions count, so it’s important to make the onboarding experience smooth and welcoming for new members. Here are some best practices:

  • Make joining simple – share invite links or QR codes so new members can access the Community quickly and without confusion.
  • Set expectations early – follow up new additions with a clear welcome message that outlines the Community’s goals, guidelines, and tone.
  • Offer helpful resources – provide FAQs, short introductory notes, or a pinned message so people know how things work.
  • Encourage introductions – invite new members to introduce themselves to break the ice and create connections.
  • Create a dedicated space – some Communities benefit from an “Introductions” Group where new members can say hello and start building relationships straight away.

Why Communities (and Groups) can strengthen small business-customer relationships

Communities and Groups can play a crucial role in enhancing the relationship between small businesses and their customers. Here are a few reasons why:

  • Direct engagement – customers feel closer to you when they can ask questions in real time.
  • Shared experiences – Groups create a sense of belonging, whether that’s regular purchasers of your product or members of a local class.
  • Loyalty and trust – customers who feel linked to a larger set of likeminded others are more likely to recommend and return.
  • Feedback loop – you can hear what customers really think, helping you refine your products or services.

What are the limitations of WhatsApp Communities?

Before you dive in, be aware of the downsides. Communities are useful, but they do come with some clear limitations that may affect how you use them:

  • Membership caps – each Community can link up to 100 groups with a combined total of 2,000 members. That may be plenty for many small businesses, but larger networks could find the limit restrictive.
  • Limited analytics – unlike some other customer engagement platforms, WhatsApp doesn’t provide detailed reporting or engagement insights. You won’t be able to see who is reading messages or track participation trends in depth.
  • Basic features only – Communities keep things simple, which means no custom branding, advanced moderation tools, or built-in automation. If you’re used to running forums or more sophisticated platforms, you may find the functionality quite limited.
  • Privacy considerations – although all messages are end-to-end encrypted, members’ phone numbers are still visible to admins, saved contacts, and anyone who already has the number. This makes it important to handle data responsibly and follow OAIC guidance.

For many small businesses, these limitations aren’t deal-breakers – but it’s worth knowing before you commit.

Practical ways to use WhatsApp Communities

Communities work well in a variety of real‑world situations where people want to stay connected around a shared purpose. Some practical examples include:

  • Small businesses can engage customers with product updates, special offers, or event information, keeping conversations organised across different topics.
  • Schools and educational groups can bring teachers, parents, and students together, with sub‑groups for different classes or activities.
  • Local organisations and volunteer networks can coordinate projects, share announcements, and create groups for specific initiatives.
  • Hobby or interest groups, such as hiking groups or book clubs, offering a central space with separate discussion groups for different themes.

WhatsApp Communities may not be the best fit for very large B2B networks that need more than 2,000 members, or for organisations that depend heavily on detailed analytics, integrations with other tools, or advanced moderation features. In those cases, a dedicated community platform is likely to work better.

Best practices for businesses interacting in WhatsApp Communities

Harnessing the benefits of Communities can be powerful for businesses, but it works best if you follow a few clear rules of etiquette and management. Here are some best practices:

  • Be clear about purpose – explain whether the Community is for updates, support, or networking, and set expectations upfront so members know what to expect.
  • Respect boundaries – avoid over‑messaging and stick to what’s genuinely useful, keeping communication relevant and valuable.
  • Moderate politely – if spam or off‑topic content appears, deal with it quickly but maintain a friendly, respectful tone.
  • Keep data private – WhatsApp protects Communities with end‑to‑end encryption, but you should still safeguard personal data. Remember that phone numbers are visible to admins, saved contacts, or people who already have your details, and always handle information in line with OAIC guidance, and other local privacy laws.

Building connection and trust through WhatsApp
