WhatsApp Coexistence: How to Use the Business App and Cloud API on One Number

Essentials to know

  • Dual-channel access: WhatsApp Coexistence (“Coex”) allows small businesses to run the mobile WhatsApp Business App and the Cloud API simultaneously on a single mobile number.
  • Best of both worlds: Staff can continue using the familiar phone app for 1:1 customer chats and calls, while management layers CRM tracking, automation, and shared team inboxes behind the scenes.
  • Data syncing & history: Two-way sync keeps 1:1 chats and contacts mirrored between the mobile app and backend systems, with the ability to import up to 180 days of existing chat history.
  • Feature limitations: Enabling Coex disables native app features like broadcast lists, disappearing messages, and live locations for 1:1 chats, while voice calls remain exclusive to the phone app.
  • Key active maintenance rule: Meta requires the primary smartphone to open the WhatsApp Business App at least once every 13–14 days to keep the API connection active.

Many small businesses start with a very simple WhatsApp setup, where one person answers customer messages from their mobile. But as the business expands and enquiries grow, more staff get involved, and the same inbox that once felt easy becomes harder to manage.

Your team may still like the WhatsApp Business App because it is familiar, free and convenient, but the business may now need more structure, such as CRM tracking, automation, lead routing, message templates, reporting and a shared team inbox.

In the past, that created a problem, as moving a WhatsApp number to the Cloud API usually meant leaving the mobile app behind. That could mean retraining staff, changing processes and losing the simple phone-based setup people were used to.

Enter: WhatsApp Coexistence. This solution lets the WhatsApp Business App and WhatsApp Cloud API work together on the same mobile number.

What is WhatsApp Coexistence?

WhatsApp Coexistence (sometimes shortened to “Coex”) is Meta’s official feature that lets an existing WhatsApp Business App number connect to the WhatsApp Business Platform through the Cloud API.

In simple terms, your staff can keep using the mobile app to reply to customers, send voice notes, make calls, and manage one-to-one chats. At the same time, your CRM, automation platform or shared inbox can run in the background using the same WhatsApp line.

That means you can handle a customer conversation in the app while also logging, tracking, assigning, or following up on it through your backend system.

For a growing business, this gives you a useful middle step between “everything happens on one phone” and “everything has to move into a full customer service platform”.

How does WhatsApp Coexistence work?

Coexistence keeps the WhatsApp Business App active on the phone while connecting the same number to the Cloud API.

Setup is usually handled through a supported CRM or WhatsApp Business Solution Partner. During Meta’s sign-up flow, you choose to connect an existing WhatsApp Business App account, then follow the prompts in the app to authorise the link. Your provider may ask you to scan a QR code or enter a verification code.

Once connected, supported one-to-one chats, contacts and recent chat history can sync between the app and the API setup. Businesses may be able to import up to six months of chat history, depending on the provider and setup.

The result is simple: staff can keep using the app they know, while the business gets better tools behind the scenes.

Why use WhatsApp Coexistence?

The biggest benefit is reduced disruption, because your employees don’t have to stop using the WhatsApp Business app overnight. They can keep replying from phones while management adds CRM tools, automation and shared visibility in the background.

Coexistence can help you:

  • Keep staff using the familiar mobile app
  • Add CRM tracking without changing the customer-facing number
  • Route leads to the right person or team using your CRM or inbox
  • Set up automated replies through your CRM or provider (the Business App’s built-in Greeting and Away Messages are separate)
  • Use shared inboxes and backend workflows
  • Add more API-based tools over time as your needs grow

This “best of both worlds” setup is especially useful for businesses where WhatsApp has become a serious sales, support or booking channel, but where staff still need the convenience of the app during the working day.

Important rules and limitations

WhatsApp Coexistence is useful, but there are some important rules to understand.

Business App only

Coexistence works with the official WhatsApp Business App, not the personal WhatsApp Messenger app.

It’s also worth noting that WhatsApp Messenger now supports multiple accounts on iOS and Android, so users can manage two separate WhatsApp numbers on one device. However, this is not yet available on the WhatsApp Business app, and it’s a different process from connecting a business number to the Cloud API.

The 13- or 14-day rule

Meta requires someone to open the WhatsApp Business App on the physical phone at least once every 14 days. To ensure that the connection remains active, a good rule of thumb is to open the WhatsApp Business App on the primary phone at least once every 10–12 days.

Some app features change

Staff can still use the WhatsApp Business App for one-to-one customer conversations, but some native app features are limited after Coexistence is enabled. Broadcast lists are disabled, existing broadcast lists may become read-only, and features such as disappearing messages, view-once messages and live location are turned off for individual chats.

One-to-one chat sync

Coexistence is designed for individual customer conversations and contacts. Group chats remain on the mobile app and don’t sync in the same way.

Calls stay in the app

Voice and video calls can still happen through the WhatsApp Business App, but they are not handled through the Cloud API. That means businesses should not assume calls will be logged or tracked in the CRM in the same way as synced messages.

Linked devices and desktop use

When you connect to Coexistence, your existing linked devices are generally disconnected, so you’ll need to link them again afterwards. WhatsApp for Windows and WearOS are not currently supported in Coexistence, so you should check which companion devices your provider supports before relying on them.

Chat history has limits

You can import recent one-to-one chats, going back up to 180 days in supported setups. Media is more limited, so ask your provider what they can actually sync before you count on older photos and attachments coming across.

API messages may be charged

Messages you send from the WhatsApp Business App are separate from Cloud API messaging. Messages sent through the Cloud API are charged under WhatsApp Business Platform pricing, plus any fees from your provider.

Consent and privacy still matter

Connecting WhatsApp to a CRM doesn’t remove your company’s responsibility to handle customer data properly. You still need to follow the relevant privacy, consent and marketing rules in your region.

For Australian small businesses and tradies, Coexistence fits the reality of working from the ute, the job site and the office. A tradie can reply to one-to-one messages and voice notes from the app while out on the tools, and take calls on the same phone. Meanwhile, an admin person can use the connected inbox to manage quotes, scheduling and customer records. Calls stay on the phone and won’t appear in the CRM, but customer messages no longer have to live on one handset.

If you send marketing or promotional messages, the Spam Act 2003 requires consent and an opt-out option.

How to set up WhatsApp Coexistence

The exact process depends on your provider, but setup usually follows these steps.

Step 1: Choose a supported provider

Pick a WhatsApp Business Solution Partner, CRM or shared inbox tool that supports Coexistence.

Step 2: Start Meta’s signup flow

Choose the option to connect an existing WhatsApp Business App account, rather than moving the number away from the app completely.

Step 3: Approve the connection in the app

Open the WhatsApp Business App on the phone that uses your business number. You’ll receive a message from the official Facebook Business Account. Follow the prompts to connect, and share your chat history if you choose to.

Step 4: Choose chat history settings

Select how much recent one-to-one chat history you want to import, depending on what your provider supports.

Step 5: Test the setup

Send test messages, check the CRM record, test any automated replies and make sure staff understand which conversations should be handled in the app and which belong in the shared inbox.

Step 6: Build workflows gradually

Start with simple features such as CRM logging and instant replies, then add lead routing, templates, broadcasts or more advanced automation later.

Is WhatsApp Coexistence right for your business?

WhatsApp Coexistence may be useful if your business already uses WhatsApp Business but needs more structure.

It is especially helpful if you:

  • Have more than one person handling enquiries
  • Want to connect WhatsApp to a CRM or shared inbox
  • Need automation, templates or lead routing
  • Want to keep your existing WhatsApp Business number
  • Do not want staff to stop using the mobile app immediately
  • Need a smoother route towards more professional customer communication

If you use WhatsApp only occasionally, the standard WhatsApp Business App may be enough. But if WhatsApp has become a key sales, support or booking channel, Coexistence can make it much easier to manage.
